This article explains how to invite users to set up the Knowledge Assistant. To learn more about Knowledge Assistant, see the Knowledge Assistant Overview.
You can invite users individually or in bulk via spreadsheet upload. This article will go over both options, as well as extra steps for Reseller accounts.
Before you start
Before inviting users, make sure you have already followed the steps in Set up Knowledge Assistant.
In order to invite a user to Knowledge Assistant, they must already be a user on the Yext account. See Add a New User for steps.
Invite users to Knowledge Assistant individually
To invite individual users:
- Click the Account Details icon in the bottom left corner of the navigation bar. From the menu, select Account Settings.
- Under the User Access Management section, click Users.
- Locate the Knowledge Assistant Status column in the user table. Next to your desired user, click Invite.

On the pop-up, click Invite to confirm that you would like to send a Knowledge Assistant invitation to that user's email address.
Invite users to Knowledge Assistant in bulk
If you'd like to invite many users to Knowledge Assistant at once, you can invite users in bulk via spreadsheet upload.
- To upload users, click Your Dashboard, then click on the Take me to my account link at the bottom of the page.
- Click on the Account Details icon in the bottom left corner of the navigation bar and click Account Settings.
- Proceed to step 3 below and follow the rest of the steps.
To invite users in bulk:
- Click the Account Details icon in the bottom left corner of the navigation bar. From the menu, select Account Settings.
- Under the User Access Management section, click Users.
- Download the user IDs for the users you want to invite to Knowledge Assistant.
- To export all users, click the Export button at the top of the user table to download a .CSV file.
- To export a subset of users, select the checkbox to the left of the desired users in the table. Then, click the Export button to download a .CSV file.
- To export all users, click the Export button at the top of the user table to download a .CSV file.

Open the .CSV file of your Yext users that you just exported. Locate the External ID column and move it all the way to the left of the sheet (so that it is the first column in the sheet).
- If you see the below popup from Excel about reformatting numbers in exponential notation, select Don't Convert.
- If you see the below popup from Excel about reformatting numbers in exponential notation, select Don't Convert.
- Save the sheet (making sure to save in .csv format).
- Navigate back to Account Settings via the Account Settings / Users navigation at the top-left of the screen.
- Scroll to the Knowledge Assistant section and select User Onboarding.
- Click the Bulk Upload Users button in the top right of the screen.
- Follow the prompt to upload the .CSV file of your users that you just downloaded. Then, click Continue.
