Automatic Review Response is now available directly in the Yext platform, replacing the older Automatic Review Response app. The in-platform version supports embedded fields and will continue to receive updates. The app will no longer be supported.
This article covers how to migrate from the app to the in-platform version. If you are not currently using the Automatic Review Response app, see Create Workflow Rules for Review Response to set up new Auto Reply workflows instead.
Important: Complete this migration as quickly as possible. Any new reviews received during the migration window will not receive an automatic response and must be replied to manually.
Step 1: Delete the Automatic Review Response App
The in-platform version will not work while the app is still active.
- Navigate to Developer > Developer Console.
- Find the Automatic Review Response app. Note that you may have renamed it.
- Click the menu icon next to the app and select Delete App.
Step 2: Identify Your Existing Labeling Rules
The app used Review Labeling Rules to determine which reviews to respond to automatically. You need to recreate these as workflow rules in the next step.
- Navigate to Reviews > Configuration > Review Labeling Rules.
- Search for rules related to automatic review response. These may include "automatic" or "auto" in the name or in the associated review label.
- Note the criteria for each rule.
Step 3: Identify Your Existing Response Assets
Each labeling rule was paired with response assets. You need to know which assets correspond to which rules.
- Navigate to Knowledge Graph > Assets and filter for Text assets.
- Use Advanced Filters to filter by the review labels you identified in Step 2.
- Note which assets correspond to each rule.
Step 4: Create New Workflow Rules
Recreate each labeling rule as an Auto Reply workflow rule using the same criteria and assets.
- Navigate to Inbox > Workflow Management.
- Click Create Review Workflow.
- Select Auto Reply.
- Enter a descriptive name for the rule.
- Click + Add Criteria and add the same criteria used in the corresponding labeling rule.
- Select Apply only to new reviews.
- Click Add Assets and select the response assets that corresponded to this rule. Each rule supports up to 25 assets.
- Click Save.
Repeat for each labeling rule from Step 2.
Step 5: Verify Your Workflow Rules
After creating all rules, review the Workflow Management table to confirm that every Auto Reply rule matches its corresponding labeling rule. Check that criteria and assets are correct before proceeding.
Step 6: Handle Reviews That Came in During Migration
Check for any new reviews that arrived during the migration window. These will not have received an automatic response. Use the same response assets from your Auto Reply rules to respond to them manually or in bulk. See Respond to Reviews for steps on bulk responding.
Optional: Clean Up Old Labeling Rules
The old Review Labeling Rules used for the app are no longer needed for automatic response. You can delete them if you do not need them for other purposes. The in-platform Auto Reply system tracks automatic responses with an Auto Reply tag in the Response column on the Monitoring tab, and you can filter for Automatic Response = Yes to see which reviews received an automatic response through the new system.
