Sending and Scheduling Emails
These instructions are for sending and scheduling one-off emails. If you want to send a series of emails, refer to the Campaigns documentation.
When you’re ready to send an email, do the following:
- In the Email Library tab, find the desired email template and click Send.
- In the editor, make any required adjustments to the template, then click Continue to Delivery Setup.
- Edit the Subject, if needed.
- Optionally, under Delivery Date & Time, select Scheduled to send the email at a later date and time.
- Choose your recipients. You can pick individual contacts, pick lists, or build an audience with the Audience Builder. See Choosing Recipients for more information.
- Click Send Email (or Schedule Email).
Choosing Recipients
In Delivery Setup, choose how you want to select recipients from the following options:
- Contacts - pick individual contacts to send to
- Lists - pick one or more existing lists
- Audience Builder - set rules, and every contact who matches them receives the email
If a contact is included more than once, for example because they're on two lists you selected, they receive only one copy of the email. At send time, contacts are removed automatically if they have unsubscribed, opted out of the email's subscription type, or been suppressed. If the email's send mode is Once per recipient, contacts who already received this version of the email are also removed.
Audience Builder
The Audience Builder lets you dynamically target contacts based on their information, such as name, email address, created date, or contact variables without creating a list first. It works the same way as setting rules for a Smart List, but the audience applies only to this email. This is useful for one-time sends like "all contacts created in the last 30 days" or "all contacts 65 or over".
The Audience Builder finds contacts across every entity you have access to, so you can reach contacts from multiple entities in a single send. If you need to send to an exact, fixed set of people, select individual Contacts or a Membership List instead.
To build an audience, do the following:
- In the recipient drop-down, select Audience Builder.
- Optionally, click Entity scope to limit the audience to contacts associated with specific entities.
- Under Match contacts when, choose how your conditions combine:
- Any condition matches - contacts who meet at least one condition are included
- All conditions match - contacts must meet every condition to be included
- Set up your first condition:
- Field - the contact information to check, such as First name, Email address, Created date, or a contact variable
- Operator - how to compare the field, such as Is not empty
- Value - what to compare against, if the operator needs one
- To add more conditions, click Add condition. To remove one, click Remove next to it.
- Click Preview audience to check who matches. If contacts are added after you preview, the final audience will be different when you go to send.
Note: Date conditions use the selected entity's timezone.
